# Excel Dropdown Lists to Google Form Dropdown Questions

In short

A dropdown list in an Excel cell, created with data validation, converts to a dropdown question in Google Forms. Upload the .xlsx file to the Excel to Google Form converter and it reads the validation list as the answer choices.

## How the conversion treats a dropdown

The [Excel to Google Form converter](/convert/excel-to-google-form) lists the result for data validation dropdown lists plainly: they become a dropdown question type. A column header acts as the question label, and the items in the list become the choices.

Here is a small example. Suppose you collect a class sign-up in Excel:

| Question | Choices in the dropdown |
| --- | --- |
| Which workshop do you want to attend? | Writing, Robotics, Music, Chess |
| Which grade are you in? | 6, 7, 8 |
| Any dietary needs? | (open text, no list) |

The first two rows become dropdown questions with those choices. The third has no list, so it becomes an open-ended question.

## Create the dropdown in Excel

1. Type the choices into a range of cells, one per cell, or plan to type them straight into the dialog.
2. Select the cell that should hold the dropdown.
3. Open the Data tab and choose Data Validation.
4. Under Allow, choose List.
5. In Source, select your range or type the items separated by commas.
6. Keep the In-cell dropdown option ticked, and click OK.
7. Save as .xlsx.

The list can sit on the first sheet next to your questions. If the choices are kept on a separate "Lists" tab, move a copy of the list onto the first sheet or check the preview, because only the first sheet is read.

## Upload and check

1. Open the converter and upload the .xlsx.
2. In the preview, look at each dropdown question. Confirm the number of choices matches your list and that no choice is missing or doubled.
3. Edit any wording in the editor.
4. Export to Google Forms and open the form to confirm each question shows as a Dropdown.

## Dropdown or multiple choice

A dropdown hides the options until the person clicks, which is good for long lists and bad for short ones. A short list is easier to answer when every option is visible.

| Number of choices | Better question type |
| --- | --- |
| 2 to 5 | Multiple choice |
| 6 to 10 | Either, test it on a phone |
| 11 or more | Dropdown |
| Several answers allowed | Checkboxes, not a dropdown |

A dropdown allows exactly one answer. If a respondent might legitimately pick more than one, change the question to checkboxes in the preview or in Google Forms.

## When a dropdown is a poor fit

- **Long lists of names.** A dropdown of two hundred students is hard to search on a phone. Ask for a name as short answer text, or use a code.
- **Quiz questions.** If the dropdown is the answer in a quiz, the correct choice needs to be set as the answer key, so check that it carried over.
- **Dependent lists.** Excel can make the second dropdown depend on the first. Google Forms cannot do this in one question. Use sections and branching, set up in Google Forms after the export.

## A worked example: a feedback form

Say a school wants a quick end-of-term feedback form. In Excel, put the questions in column A: "How was the pace of the course?", "Which part helped you most?" and "Would you recommend it?". Give each one a validation list in the next cell, such as Too slow, About right, Too fast for the first question, and Yes, No, Not sure for the last. Leave the second without a list so it becomes an open question. After the upload, the preview should show two dropdown questions and one open-ended question. If it shows anything else, return to the sheet before you export, because a pattern that fails on three rows will fail on thirty.

## Other things that behave differently

- A formula that builds a dropdown source is read as its calculated value.
- Merged cells that span a row become a section title.
- Pictures and charts are skipped.

Our guide on [turning Excel into a Google Form](/blog/excel-google-form) covers the broader flow, and [Excel to Google Form not working](/blog/excel-to-google-form-not-working) helps if a dropdown arrives as plain text.

Uploading and previewing is free, and each Formswrite form you keep counts toward the five a month on the free plan. Exporting to Google Forms needs a paid plan.

## FAQ

Does a dropdown in Excel become a dropdown in Google Forms?

Yes. The converter reads data validation lists and maps them to the dropdown question type in Google Forms.

Why did my dropdown turn into plain text?

Most often the file was saved as CSV before upload, which drops the validation lists. Upload the original .xlsx instead.

Can I use a dropdown list from another sheet?

Only the first sheet is read, so keep the list on the first sheet or check the preview to confirm the choices came across.

Can respondents choose more than one item from a dropdown?

No. A dropdown allows a single answer. Use checkboxes when more than one answer is allowed.
